UUFCC Board Job Descriptions:

President, President-Elect, Secretary, Treasurer, Trustee

General Responsibilities of all Board Members

The UUFCC being a spiritual home, all Board members are asked to come together in a spirit of trust, respect, and love to create a supportive and nurturing team that carries forward the work of the Board. Board responsibilities include:

  • The ultimate fiduciary responsibility for the current and future well-being of UUFCC;
  • Facilitating and motivating advancement of UUFCC’s Vision and Mission;
  • Establishing, updating, knowing, and following the Fellowship’s policies and promoting the congregation’s awareness of policies;
  • Protecting the financial security of UUFCC;
  • Listening to the membership, operating transparently and explaining the Board’s actions and thinking to the membership;
  • Calling and organizing congregational meetings as appropriate.

Accepting a position on the Board also carries a commitment to honoring the terms of any agreed-upon Board covenant, attending all Board meetings and Board retreats, and coming prepared to these meetings and retreats.

Job Descriptions

Board President

Length of term

The Board President serves four years on the Board: two years as President-Elect (during the two years before becoming the President), and two years as President.

General Description

In addition to the above responsibilities of all Board members, the President is responsible for chairing the monthly meetings of the Board of Trustees and for general oversight of the healthy functioning of the Board. The President is available to conduct the business of the Board between regular Board meetings.

  1. Weekly Duties
    • Monitor and reply to Board-related communications, as needed.
  2. Monthly Duties
    • Meet with the Minister and President-Elect to set Board agenda before the Board meetings.
    • Prepare and distribute agenda.
    • Write a monthly report for the Board.
    • Chair Board meetings.
    • With the Secretary and the Minister, ensure follow-up on commitments made at Board meetings.
  3. Other Duties
    • Schedule and plan Fall Board Retreat.
    • Oversee the yearly Board planning.
    • Prepare the agenda for the Annual and Midyear Congregational Meetings with the UUFCC office.
    • Chair the Annual and Midyear Congregational Meetings.
    • Fill Board vacancies by Presidential Appointment.
    • Sign checks when needed.
    • Other duties as needed.

President-elect

Length of Term

The President-Elect is elected for a four-year term, will serve as President for the third and fourth of the four years.

General Description

In addition to the above responsibilities of all Board members, the President-Elect will assist and step in for the President when needed and act as a liaison between the Board and the Program Council.

  2. Assist the President.
    • Attend the Board agenda-setting meetings.
    • Fulfill the duties of the President in the latter’s absence.
    • Be available to conduct Board business between regular Board meetings.
    • Advises the Board on recommended responses to complaints of UUFCC employees.
  3. Program Council (PC) Duties
    • Function as a liaison between the Board and PC: coordinate and communicate regularly with PC Chair; attend and participate in PC meetings and events, including PC calendaring event; provide PC meeting minutes to the Board.
    • Support the budgeting process for the PC committees and activities.

Secretary

Length of Term

Board Secretary is a two-year commitment.

General Description

In addition to the above general responsibilities of all Board members, the Secretary is responsible for recording and distributing the minutes for all Board meetings and keeping a record of all minutes, policies, and other essential Board documents.

  1. Monthly Duties
    • Record minutes for all Board-related meetings. Distribute the draft minutes to Board members, program staff, and Office Administrator within two weeks.
    • Once approved by the Board, distribute the final version of minutes to Board members, program staff, and Office Administrator.
    • Make sure the Policy on Maintaining UUFCC Board-Related Documents is followed in a timely manner.
  2. Other Duties
    • Sign documents that require the signature of the Secretary.
    • Train an incoming Secretary before leaving office.
    • Update Board folder access and email list as members come and go from the Board with the office administrator.
    • Maintain the “Lockup Duty” spreadsheet for after Sunday services.
    • Update the combined Policy Manual and Bylaws as needed.
    • Archive the Board folder contents at least once every six months to local storage.

Board Trustee

Length of Term

Board Trustees serve a three-year term.

General Description

Accepting the position of Board Trustee means committing to the responsibilities of all Board members as described above. In addition to the general responsibilities of all Board members, the specific duties of a trustee include the following:

  1. Monthly Duties:
    • Prepare for, attend, and assist in documenting and communicating about monthly Board meetings.
    • Review regularly monthly reports prepared by the officers, Program Council, and Minister.
    • Study the agenda and documents that will require Board action at the upcoming meeting.
    • After the meeting, assist the Secretary in preparing a summary of the meeting for the next monthly newsletter.
    • After the meeting, correct and clarify meeting minutes drafted by the Secretary.
  2. Perform specific tasks for organizing and accomplishing high-priority Board projects each year.
  3. Demonstrate exemplary personal commitment to the Fellowship in other concrete ways
    • Share Sunday lock-up duty with other officers and trustees.
    • Assist in planning and carrying out congregational meetings at least twice a year, along with other social and educational events occasionally sponsored by the Board.
    • Assist in some way, if at all possible, with the annual fundraising campaign.
    • Support and participate in a variety of congregational activities and events, sometimes serving on work teams.
